Internal Notifications

Internal Notifications allow you to automatically send email updates to specific people when important sales events occur in your project. This feature helps keep key stakeholders—including external partners, management, and sales team members—informed about deal progress without requiring them to actively monitor the platform.

What Are Internal Notifications?

Internal Notifications are automated emails sent to designated recipients when specific sales milestones are reached. Unlike the regular in-app notifications that appear while using the platform, these emails are sent to any email address you configure and work independently of whether recipients are logged into the system.

Available Notification Types

You can configure email notifications for four key sales events:

  • New Deal - Triggered when a new sales contract is successfully processed and written into the system
  • Deal Accepted - Triggered when all required developer signature blocks have been completed on a sales contract
  • Deal Gone Firm - Triggered when a deal status changes from Subject to Firm, either manually by sales staff or automatically through the system
  • Deal Collapsed - Triggered when a deal is manually collapsed by sales staff

How to Configure Internal Notifications

Accessing the Configuration

  1. Navigate to your project in the Workbench
  2. Go to ConfigurationContacts
  3. Find the Internal Staff Notifications section

Adding Email Recipients

You can add email addresses in two ways:

Staff Email Addresses: Use the dropdown to select from your organization's staff members. The dropdown shows each person's full name and role for easy identification.

Manual Email Entry: Type any email address directly into the input field. This is useful for external stakeholders, management, or anyone not in your staff directory.

Setting Up Notifications

  1. Add an email address using either method above
  2. Select notification types by checking the boxes for each event type you want that recipient to receive
  3. Enable notification types using the master switches for each event type
  4. Save your changes

The configuration displays as a grid showing:

  • Email addresses in the first column
  • Checkboxes for each notification type (New Deal, Deal Accepted, Deal Gone Firm, Deal Collapsed)
Project-Specific Configuration

Internal Notifications are configured separately for each project. Settings from one project do not carry over to others.

Who Receives Notifications

When a sales event occurs, notifications are automatically sent to:

  1. All configured email addresses for that specific notification type
  2. The assigned salesperson for the deal (if they have an email address on file)

All recipients receive the email as CC recipients from "Vesta Properties" with deal-specific information included in the message.

Managing Your Notification Settings

Adding Recipients

Simply add new email addresses and check the appropriate notification types. You can add the same email address with different notification preferences.

Removing Recipients

Uncheck the notification types for an email address to stop sending those specific notifications. The email address will remain in your list for other notification types you've selected.

Updating Settings

Changes take effect immediately. New deals and events will use your updated notification settings.
